Role Overview
Whyte Law is a boutique civil and commercial law practice serving local and overseas clients across real estate and conveyancing, estate administration, divorce and general civil matters. We pride ourselves on professionalism, discretion and a client-first approach.
We are seeking a dependable Legal Secretary / Administrative Assistant to support our attorney(s) and front office. The successful candidate will prepare and manage documents, maintain files and deadlines, assist with client scheduling and correspondence and help keep the office running smoothly. No prior legal experience is required. Full training in legal procedures, terminology and document formats will be provided to the right candidate.

Key Responsibilities
- Prepare and edit letters, memoranda, emails and legal documents for clients, the court, opposing attorneys and third parties
- Maintain the firm's deadline and limitation diary: court dates, hearings, lodgement and undertaking deadlines
- Maintain attorneys' calendars; schedule appointments, consultations and meetings
- Open, maintain, file and organise client matter files (physical and electronic)
- Greet clients and visitors; answer, screen and route incoming calls
- Prepare and lodge documents with the relevant courts and agencies (Supreme Court, Parish/Family Court, National Land Agency, Companies Office and Tax Administration Jamaica), coordinating with the firm's town agent where required
- Record billable time; assist with fee notes, receipts and disbursement records
- Open new matter files and prepare engagement/retainer letters
- Receive, log and dispatch mail, courier packages and document deliveries
- Maintain a tidy, welcoming reception area and meeting rooms
- Maintain strict confidentiality of client and firm information at all times
- Provide general administrative support to attorneys as required

Requirements
- 1 to 2 years of administrative, clerical or office experience (professional services or legal environment an asset)
- Five (5) CXC/CSEC subjects including English Language and Mathematics or equivalent
- Strong written and verbal English with excellent attention to detail and document accuracy
- Proficiency in Microsoft Office (Word, Outlook and Excel)
- Strong organisational and time-management skills; able to meet deadlines and manage multiple priorities
- Discretion and a high regard for client confidentiality
- Professional appearance and demeanour; willingness to learn
- Available to work Monday to Friday, 8:30 AM to 4:30 PM
- No prior legal experience required. Full training will be provided.
